Privacy Policy

We believe strongly in maintaining your privacy and protecting your data. You entrust us with sensitive commercial information. We take that responsibility seriously.

This policy was last updated on 4th September 2009. It may be updated in the future and we will post any new versions here on our website.

You own and control your data

You retain ownership of all data you enter or upload into Sparkle, and have ultimate control over who has access to it. You control that access via users' accounts which only you can create. It is your responsibility to safeguard the passwords you assign to those users.

What data we can see

We have no access to user passwords, so we cannot sign in to your Sparkle site without your permission (for example you might choose to add a temporary user account to help us resolve a question for you).

We monitor patterns of usage, such as Sparkle response time and volumes of data, so we can understand better how people are using Sparkle and keep it running as smoothly as possible.

For this purpose we may also record your IP address (this is a number which identifies your computer when it connects to the Internet).

What personal information we collect, and why

When you sign up for a Sparkle account, you provide your name, contact details (including email address) and some information about your company. We need this to:

  • enable you to produce delivery notes tailored to your company;
  • enable us to answer your queries;
  • bill you correctly.

About cookies

When you sign in to Sparkle, Sparkle makes a note of this in your browser so you do not have to sign in every time you go to a new page. Sparkle does this using a cookie. This cookie lasts until you sign out or close your browser, whichever comes first.

You can also choose to access your account without signing in each time ("Remember me on this computer"). This works by storing a longer-lasting cookie that stays if you close your browser. When you explicitly sign out, this cookie is removed.

These cookies do not contain any personal information about you. We do not share them with any other company. Clearly, though, you should not use "Remember me" if you are on a publicly-accessible computer unless you explicitly sign out afterwards.

Credit card information

Once your 30-day free trial is over, we will use your card details to start your subscription for continued use of Sparkle. Your credit card information is passed directly to our payment service provider over an encrypted link and is never stored on our system. Ongoing billing is handled using an encrypted key to refer to your account.

Exporting your data

You can export a complete copy of your data, as a Microsoft Excel-compatible file, whenever you like.

If you decide to cancel your account

If you cancel, your data is removed immediately and irrevocably from our system. We retain historical billing information for accounting purposes, because we are required to do so by law, but once you have cancelled your account we no longer have the ability to bill your credit card.

Sharing your data with others

We reserve the right to cooperate with law enforcement officers in the investigation of alleged unlawful activities by users of Sparkle or our websites. We will have no legal liability for such disclosures of your information.

If any person, business, or other organisation takes over our rights or responsibilities under the Terms of Service, we may share information we hold about you with them in advance, to help preparations for the handover and ensure the smooth continuity of The Service.

We will not share your data otherwise.

Your rights

You have the right to request a copy of the personal information we hold about you. To do this, simply send us an email. We may charge you £10 to cover our administration costs in providing this information.

To provide the highest level of customer service we need accurate customer information. You can help us by informing us whenever your relevant circumstances change. You can ask us to correct incorrect personal information about you by emailing us.

You can find detailed information about your rights under UK Data Protection legislation on the UK Information Commissioner's Office's website.
